Privacy Policy

We value your privacy. This policy explains what personal data we process when you visit or use our webshop, for what purposes, on what legal grounds, how long we retain data, and with whom we share it. We process no more than necessary and secure your data appropriately.

2. What data we process

  • Order and account details : name, address, email, telephone (optional), order and billing details, selected delivery options.
  • Payment status : payment method and status (via your payment provider); we do not store full card details.
  • Communications : emails, forms, reviews/wishlist (if used).
  • Technical/usage : IP address, device/browser information, session IDs, cookie IDs, pages viewed, and purchase history (aggregated for analysis, only with consent).

3. Purposes and legal grounds (GDPR Art. 6)

  • Order processing & customer service (performance of agreement art. 6(1)(b)): order, payment, delivery, returns, warranty/complaints.
  • Shipping & logistics (agreement execution): sharing address and contact details with shipping partners.
  • Legal obligations (art. 6(1)(c)): tax administration, accounting.
  • Security, fraud/prevention & improvement (legitimate interest art. 6(1)(f)).
  • Newsletters/marketing (consent art. 6(1)(a)); you can withdraw this at any time.
  • Analytics & marketing cookies (consent art. 6(1)(a)); see Cookie Statement and the Cookie Preferences button in the footer.

4. Sources

We receive data directly from you (order, contact), from your device (cookies/analytics – after consent) and from partners (e.g. payment status from your payment provider, tracking information from shipping partners).

5. Sharing with third parties (categories)

  • Shop platform & hosting : Shopify (shop platform, data processing and hosting).
  • Payments : Payment providers (e.g., Shopify Payments/Adyen/Stripe, PayPal). These parties are often independently responsible for processing payments.
  • Shipping : Shipping platform (e.g. Sendcloud) and carriers (e.g. PostNL, DHL, DPD, UPS) for delivery and tracking.
  • Customer services & communications : email provider, helpdesk/review/wishlist services (e.g. Trustpilot, Swishlist) if enabled.
  • Analytics & marketing : e.g. Google Analytics and (after permission) advertising and social platforms.
  • IT & security : maintenance/support for our webshop.

We enter into data processing agreements where necessary. Data is not sold.

6. International transfer

Some service providers are located outside the EEA. In that case, we ensure appropriate safeguards are in place, such as EU Standard Contractual Clauses , supplementary measures, or an adequacy decision. Need more information? Contact us.

7. Retention periods

  • Administration (invoice/order data) : 7 years (legal retention obligation).
  • Customer service : communication up to 2 years after completion.
  • Account : As long as your account is active; we will delete it upon request (to the extent legally permitted).
  • Marketing : until you unsubscribe or withdraw your consent.
  • Technical logs/analytics : As short as reasonable (typically 12–24 months), as per service settings.

8. Security

We use encrypted connections (SSL/TLS), access restrictions, and appropriate organizational/technical measures. However, no method can guarantee 100% security.

9. Your rights

You have the right to access, rectify, erase, restrict, port, and object to your data (in particular to processing based on legitimate interest and direct marketing). For processing based on consent, you can withdraw it at any time (this does not affect the lawfulness of previous processing). Send your request to info@thecollectionist.nl ; we will respond within 30 days.

You also have the right to lodge a complaint with the Dutch Data Protection Authority ( autoriteitpersoonsgegevens.nl ).

10. Minors

Our webshop is not aimed at children under 16. We do not knowingly request parental/guardian consent. If you believe we have collected data inappropriately, please contact us.
